Reporting Integration
Every Square sale — online and at the till — as a row in your own spreadsheet: gross, Square fee, net, tender, location and what was bought. No exports, no month-end scramble.
Square’s dashboard is good at telling you what happened today. It is less good at giving you your numbers in your own shape — and the moment you want a month-by-month view, a comparison between locations or a tab your accountant can read, you are exporting a CSV and rebuilding the same spreadsheet again next month.
This integration keeps a Google Sheet permanently in step with Square. Your existing history is imported when we set it up, and from then on every new completed sale is added as a row on its own — usually within minutes. You build whatever you want on top: pivot tables, monthly summaries, a dashboard, a shared tab for the accountant.
£6.99 per month after a free first month. That covers the integration, ongoing updates and support — no per-row or per-sale fees on top.
Yes. We agree how far back you want to go — a year, or everything — and backfill the sheet in one pass at setup, so you begin with your full history rather than an empty tab. After that it only ever adds new sales.
The defaults cover what most people need:
\nIf you want a different set, tell us at setup and we will shape it to how you actually work.
Both, by default, with a column that tells you which is which. If you only want one — say, online orders only — that is a setting we agree at setup.
Every row carries its location, so one sheet covers all of them and a pivot table splits them apart in seconds. If you would rather have a tab per location, we can do that instead.
You authorise the connection through Square's own sign-in (OAuth) — a couple of clicks, no passwords shared with us. The access is read-only: it can see orders and payments and nothing more. You can revoke it from your Square dashboard at any time.
Edit access to the single sheet you nominate — not your Drive, not your other files. You create the sheet (or we do), share it with us, and that is the only thing we can see. Remove the share at any time and the connection is gone.
Yes, and that is rather the point. New sales are appended as rows, so anything you build — extra columns to the right, additional tabs, charts, pivot tables reading from the data — keeps working. We only ever write to the columns we own.
A refunded sale is reflected in the sheet rather than left showing as full revenue, so your totals do not overstate what you actually kept. Partial refunds show the amount actually refunded. We confirm the exact treatment with you at setup so it matches how your bookkeeping works.
Usually within a few minutes of the sale completing. It is a continuous sync rather than an instant one — if a sale ever arrives late, the next pass picks it up, so nothing is quietly lost.
Plenty of people do exactly that — a shared Google Sheet is the easiest thing in the world to give an accountant, and it is always current. If you would rather push straight into Xero or QuickBooks instead, that is bespoke work rather than this product. Get in touch and we will quote it.
Nothing breaks. We track sales by their Square reference rather than by row position, so sorting, filtering or removing rows will not cause the same sale to be written twice. If you delete something you wanted, ask and we will re-import it.
You can cancel any time with 30 days' notice. The sync carries on during the notice period and then stops. The sheet is yours and stays exactly where it is, with everything already in it — it simply stops receiving new rows.
